GENERAL SUMMARY:
The Office Administrator manages the front desk, updates all event scheduling and seminar tracking in corporate database, conducts confirmation calls to candidates & prepares materials for orientation, schedules appointments for delivery consultants, processes & distributes mail, participates in special projects, and provides general office support.

PRINCIPAL DUTIES & RESPONSIBILITIES

Front Desk Administration
1. Answers main phones and maintains orderly reception area.
2. Maintains conference room schedules.
3. Tracks utilization numbers for office usage.
4. Mail responsibility: Outgoing and Express mail.
5. Proactively engage candidates to participate in program.
6. Other duties as assigned.

Transition Delivery Support
1. Records Seminar attendance into company database.
2. Prepares orientation materials, handouts.
3. Assists with the administration of the Events Calendar in online calendaring system.
4. Type workshop resumes and mails them to candidates.
5. Coordinates & sends candidate e/mail blasts/communications.
6. Schedules appointments for consultants.
7. Prepare new start materials, notification packets, etc.

General Office Support
1. Support office projects and handle administrative needs of staff members.
2. Ordering of all general office supplies (letterhead paper, pens etc., printer cartridges etc).
3. Troubleshoot technical problems (computer/printer/copier).
4. Office Equipment, ensure maintenance and problem solving.
5. Maintains supplies in Copier/Fax Room and Information Center.
6. Kitchen maintenance.
7. Orders all kitchen supplies including coffee and other beverages.
8. Special projects as needed.
9. Process Accounts Payables.
10. Provide sales support as needed.


JOB SPECIFICATIONS:
1. Bachelor's Degree or some college/university coursework
2. Excellent computer skills (including Microsoft Office Suite, Word, Excel and PowerPoint)
3. Exceptional telephone skills
